This Privacy Policy describes how AI Lead Nexus LLC, an Arizona limited liability company (“AI Lead Nexus,” “we,” “us,” or “our”), collects, uses, stores, and protects information about the businesses and individuals we interact with.
We interact with four groups of people:
1. Clients — businesses that subscribe to our services
2. Prospects — businesses we contact through outreach, and people who try our demonstration
3. End-customers — individuals whose data we process on behalf of our clients
4. Website visitors — anyone who visits our sites
From Clients. When a business signs up for or uses our services, we collect the business owner’s name, email address, and phone number; business name, address, EIN, and website; payment information (processed and stored by our payment processor — we do not store full card numbers); access credentials you provide during onboarding; communication history with us; and account activity and usage data.
From Prospects. For businesses we contact, we hold business name, email address, phone number, website, and publicly available information about the business, collected from public directories, websites, and professional profiles. We contact businesses, not consumers, on the basis of legitimate business interest in reaching businesses that may benefit from our services.
For people who try our demonstration (“CleanStream”), we collect what you provide when you call, chat, or submit the demo form: name, callback number, email, any property or service details you give, call recordings and transcripts, and chat records. The demonstration is a working copy of the system; treat it as you would a real business’s phone line.
From End-Customers. In delivering our services we process personal data belonging to our clients’ customers — individuals who call, chat with, or submit forms to a client’s business: names, phone numbers, email addresses, property addresses, service inquiry details, call recordings, call transcripts, chat records, and message history. In this capacity AI Lead Nexus is a data processor, not a data controller. Our clients control this information. We process it solely to deliver the services they subscribe to. End-customers with questions about their data should contact the business they interacted with.
From Website Visitors. Our sites may collect usage data through cookies and analytics as described in Section 11.
Client information is used to provide, configure, and maintain your subscription; process payments; communicate about your account, service updates, and support; send performance reports; register your business with carriers for text messaging; improve our services; and comply with law.
Prospect information is used to contact businesses about our services and to determine fit. Demonstration data is used to operate the demonstration and to follow up with you about our services. We do not contact prospects for unrelated purposes.
End-customer information is used only to deliver the services our clients subscribe to: answering calls and chats, logging leads, and sending follow-up communications on the client’s behalf. It is never used for our own marketing, sold, or processed for any other purpose.
Calls to phone numbers we operate — including our demonstration line and the numbers we provision for clients — are recorded and transcribed. Audio recordings are automatically deleted 30 days after the call. Text transcripts and call summaries are retained with the associated contact record for the retention period in Section 8.
Some states require that every party be notified that a call is recorded. On client numbers serving businesses in those states we play a recorded notice to every caller before the call connects. Our demonstration line is operated from Arizona. If you do not wish to be recorded, do not call our demonstration line; you can reach us by email instead.
We do not store voiceprints or use voice data for biometric identification.
We use AI-powered systems to answer calls and chats for our demonstration and on behalf of clients. These are automated systems, not human employees. They identify themselves as automated when sincerely asked. They do not make binding commitments and do not quote final prices.
No AI training. Neither client data, prospect data, nor end-customer data is used to train AI models or to improve AI systems for other clients or third parties. Our platform provider states in its own privacy policy that it does not use customer personal information to train generalized AI models, and the model providers it uses exclude API traffic from training by default.
We contact local service businesses that may benefit from our services using contact information from public sources. Our legal basis is legitimate business interest: we contact businesses, not consumers, about a service relevant to their industry.
You may opt out at any time. Reply to any email with “unsubscribe,” “remove me,” or any reasonable request and we will remove you from all outreach within 10 business days. Our mailing address is available on request.
We do not purchase consumer contact lists and do not send unsolicited communications to individual consumers.
By providing your phone number and submitting a form on this site, you consent to receive transactional text messages from AI Lead Nexus related to your account, trial, or requested services. Message frequency varies. Message and data rates may apply. You may opt out at any time by replying STOP to any message or by contacting us through any reasonable method; we honor opt-outs within 10 business days. Reply HELP for help. Opting out does not affect your ability to receive services. Consent to receive text messages is not a condition of purchase.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.
We do not sell, rent, or share client, prospect, or end-customer information with third parties for their marketing or advertising purposes, and we have not sold personal information in the preceding 12 months.
We share information only as follows:
Technology providers. Third-party providers deliver the infrastructure behind our services — CRM and dashboard, telephony and messaging, AI models, email delivery, and payments. They access information only to provide those services to us and are bound by their own terms to protect it. A current list is available on request.
Carrier registration. To enable text messaging we submit a client’s legal business name, EIN, address, website, and contact details to the carrier registration system.
Payment processing. Payment information is handled by our payment processor. We do not store full card details.
Legal requirements. We may disclose information if required by law, court order, or to protect the rights, safety, or property of AI Lead Nexus, our clients, or others.
Business transfer. If AI Lead Nexus is sold or its assets transferred, information may transfer as part of that transaction. Clients will be notified in advance.
• Client account data: duration of the subscription plus 3 years after closure, for legal and business records.
• Prospect outreach data: until you opt out or we determine outreach is no longer relevant, then deleted. Opt-out records are kept so we don’t contact you again.
• Demonstration call and chat data: audio recordings 30 days. Transcripts, chat records, and contact details are retained until you opt out or we determine outreach is no longer relevant, then deleted.
• End-customer data: held in the client’s account for the duration of the subscription. Audio recordings 30 days. After the subscription ends, the account is archived for 90 days for reactivation, then permanently deleted.
• Text-message consent records: a minimum of 4 years, as carrier and regulatory rules require.
• Payment records: as required by law and our payment processor.
Clients may request access to, correction of, or deletion of their account information at [email protected]. We respond within 30 days. Deletion is subject to legal retention requirements.
Prospects may opt out of outreach by any reasonable method; see Section 5. Demonstration users may request deletion of their demo data by emailing [email protected].
End-customers should contact the business they interacted with. As a processor, we support client-directed requests from end-customers.
Residents of California and other states with privacy laws. Although our size places us outside the thresholds of most state consumer privacy statutes, you may ask us what personal information we hold about you, ask us to correct or delete it, and ask whether we have sold or shared it (we have not). Email [email protected]. We do not discriminate against anyone for exercising these rights. We do not sell personal information; Nevada residents may nonetheless direct a request regarding sale of covered information to the same address.
We take reasonable technical and organizational measures to protect information — encrypted transmission, access controls, and providers with industry-standard security practices. No method of transmission or storage is completely secure and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you as required by law.
Our websites may use cookies and analytics tools to understand how visitors use the site. This data is aggregated and used to improve the site. We do not use cookies to track individuals across other sites for advertising. Our websites do not currently respond to browser Do Not Track signals; we treat all visitors the same regardless of that setting. You can control cookies through your browser.
Our services are for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided information to us, contact us and we will delete it.
Our sites may link to third-party websites. This policy applies only to AI Lead Nexus. We are not responsible for the privacy practices of linked sites.
We may update this policy. For material changes we notify current clients by email and update the “Last Updated” date. Continued use after changes take effect constitutes acceptance.
This policy is governed by the laws of the State of Arizona.
