This Privacy Policy describes how AI Lead Nexus ("AI Lead Nexus," "we," "us," or "our"), operated by Eric Velez in the State of Arizona, collects, uses, stores, and protects information about the businesses and individuals we interact with.
We interact with three distinct groups of people, and this policy addresses each:
1. Clients — businesses that subscribe to our services
2. Prospects — businesses we reach out to via cold email or other outreach
3. End-customers — individuals whose data we process on behalf of our clients as part of delivering our services
From Clients (subscribing businesses)
When a business signs up for or uses our services, we collect:
Business owner name, email address, and phone number
Business name, address, and website
Payment information — processed and stored by our third-party payment processor; we do not store full card numbers
Access credentials provided during onboarding (website access, Google Business Profile access, or similar)
Communication history between you and AI Lead Nexus
Account activity and usage data related to your subscription
From Prospects (businesses we contact via outreach)
When we conduct outreach to potential clients, we may hold:
Business name, email address, phone number, and website
Publicly available information about the business (such as industry, service area, and online presence)
This information is collected from publicly available sources including business directories, websites, and publicly visible professional profiles. We collect this data on the basis of legitimate business interest in reaching businesses that may benefit from our services.
From End-Customers (on behalf of our clients)
As part of delivering our services, AI Lead Nexus processes personal data belonging to our clients' customers — individuals who interact with the AI voice agent or chat agent we deploy on the client's behalf. This data includes:
Names, phone numbers, and email addresses
Property addresses and service inquiry details
Call recordings and summaries
Chat conversation records
In this capacity, AI Lead Nexus is a data processor — not a data controller. Our clients are the data controllers responsible for this information. We process it solely to deliver the services our clients have subscribed to. If you are an end-customer with questions about how your data is used, please contact the business you interacted with directly.
Client information is used to:
Provide, configure, and maintain your AI Lead Nexus subscription
Process your payments and manage your account
Communicate with you about your account, service updates, and support
Send monthly performance reports and service-related notifications
Improve the quality of our services
Comply with applicable legal obligations
Prospect information is used to:
Contact businesses about AI Lead Nexus services that may benefit them
Determine whether a business is a good fit for our services
We do not contact prospects for purposes unrelated to our services. Prospects may opt out of further contact at any time (see Section 7).
End-customer information is used to:
Deliver the AI voice agent and chat agent services our clients have subscribed to
Log lead and call activity to the client's dashboard
Enable automated follow-up communications on the client's behalf
End-customer data is never used for AI Lead Nexus's own marketing, sold to third parties, or processed for any purpose beyond delivering services to the client whose customer it belongs to.
AI Lead Nexus conducts outreach to local service businesses that may benefit from our services. We collect business contact information from publicly available sources and contact these businesses about our offerings.
Our legal basis for this outreach is legitimate business interest — we contact businesses, not consumers, about a service directly relevant to their industry.
You may opt out at any time. If you receive an email from us and do not wish to hear from us again, reply with "unsubscribe" or "remove me" and we will remove you from all outreach immediately. We honor opt-out requests through any reasonable method, including email replies, within 10 business days.
We do not purchase contact lists for consumer marketing and do not send unsolicited communications to individual consumers.
We do not sell, rent, or share client or prospect information with third parties for their marketing or advertising purposes.
We share information only in the following limited circumstances:
Technology providers. We use third-party technology providers to deliver our services, including infrastructure for CRM, telephony, payments, and communications. These providers access your information only to support the services they provide to us and are contractually required to protect it.
Payment processing. Payment information is handled by our third-party payment processor. We do not store or have access to your full payment card details.
Legal requirements. We may disclose information if required by law, court order, or to protect the rights, safety, or property of AI Lead Nexus, our clients, or others.
Business transfer. If AI Lead Nexus is sold or its assets are transferred, client information may transfer as part of that transaction. You will be notified of any such change in advance.
When you subscribe to AI Lead Nexus, we process personal data belonging to your customers as part of delivering the services you have contracted for. This includes contact information, call recordings, chat logs, and service inquiry details.
Your customers' data belongs to you. We process it only on your instructions and only to deliver your subscription services. We do not use end-customer data for our own marketing, analytics, AI training, or any purpose beyond service delivery to you.
AI training. Neither client data nor end-customer data is used to train AI models or improve AI systems for other clients or third parties.
Data return and deletion. Upon termination of your subscription, you may export your contact and customer data from your dashboard before access is removed. We recommend doing so before your billing period ends. After account closure, data may not be recoverable.
Client account data is retained for the duration of your subscription and for 3 years following account closure, for legal and business record purposes.
Prospect outreach data is retained until you opt out or until we determine outreach is no longer relevant, at which point it is deleted.
End-customer data is retained in your sub-account for the duration of your subscription. After account closure, data is archived for 90 days before deletion, in case you wish to reactivate. After 90 days, it is permanently deleted.
Payment records are retained as required by applicable law and our payment processor's policies.
Clients may request access to, correction of, or deletion of their account information by contacting us at [email protected]. We will respond within 30 days.
Prospects may opt out of all outreach at any time by replying to any email from us with any reasonable opt-out request. We will process it within 10 business days and remove you from all future outreach.
End-customers should contact the business they interacted with directly. As a data processor, AI Lead Nexus will support client-directed data requests from end-customers.
We take reasonable technical and organizational measures to protect the information we hold — including encrypted data transmission, access controls, and use of security-conscious technology providers. No method of transmission or storage is completely secure. We cannot guarantee absolute security but take protecting your information seriously.
If we become aware of a security breach that affects your information, we will notify you as required by applicable law.
Our website (aileadnexus.com) may use cookies and analytics tools to understand how visitors interact with our site. This data is aggregated and used to improve our website. We do not use cookies to track individual users for advertising purposes.
Our services are intended for business owners and adults. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal information, contact us and we will delete it promptly.
Our website or communications may contain links to third-party websites. This Privacy Policy applies only to AI Lead Nexus. We are not responsible for the privacy practices of any linked third-party sites or services.
